Property management is one of those businesses where the details matter.

A lot.

Rent collection matters. Maintenance matters. Tenant communication matters. Owner communication matters. Accounting matters. Inspections matter. Lease renewals matter. Utility billing matters. Move-ins, move-outs, deposits, work orders, vendor follow-up, delinquency, AppFolio accuracy — it all matters.

And when you manage a lot of properties, you cannot just rely on good intentions.

You need systems.

You need accountability.

You need the right people in the right seats.

You need to measure what matters.

That is a big focus for us right now at Hermann London Property Management.

We Want a Better Experience for Owners, Residents, and Our Team

Our goal is not just to “manage doors.”

Our goal is to create a better experience for the property owners who trust us, the residents who live in the homes we manage, and the employees and vendors who help us run the business every day.

That means we have to keep improving.

We have read the management books, the business books, the leadership books, and the self-improvement books. But reading the books is not the point. The point is actually implementing what works.

Right now, we are especially focused on improving our internal accountability by rolling out better Key Performance Indicators, or KPIs, for our business and staff.

The idea is simple:

If you monitor and measure what matters, what matters usually improves.

So instead of just hoping inspections are done, we want to track them.

Instead of just hoping work orders are moving, we want visibility.

Instead of just hoping communication is happening, we want systems that make it easier and more consistent.

Some of the Improvements We’re Working On

We are making several changes and improvements inside the company to better serve our property management clients.

A few examples:

1. Better KPI Tracking

We are implementing more specific KPIs so our team knows what winning looks like.

That includes things like timely inspections, work order completion, utility billing accuracy, communication standards, and other key parts of the property management process.

This helps everyone stay on the same page.

2. Better Inspection Tracking

We have created a better way to track whether property inspections and maintenance walk-throughs are being done in a timely manner.

This is important because inspections protect the property, help catch maintenance issues earlier, and create better accountability with residents.

3. Better Owner Communication

We are creating this quarterly property owner newsletter so our clients can hear from us more consistently.

We want owners to know what we are seeing in the market, what we are improving internally, and what opportunities may be available to them as real estate investors.

4. Easier Access to Company Leadership

We have made it easier for our clients to reach out and talk directly with our company owner when needed.

We never want owners to feel like they are lost in a system with no way to be heard.

5. A “60 Days In” Review for New Clients

We are creating a “60 days in” style meeting for new property management clients.

The idea is to review how things are going after the first couple of months, make sure the office team and property manager are aligned, and give the owner a chance to ask questions or raise concerns early.

Starting a new management relationship involves a lot of moving parts, and we want to make that transition smoother.

6. Using AI and Technology to Improve Efficiency

We are actively using AI tools, automation, and technology to make our team more efficient.

For example, we are using tools like Claude Code and other AI resources to help improve processes, reporting, and internal systems.

The goal is not to replace the human side of property management. The goal is to reduce repetitive work, improve accuracy, and give our team better tools so they can focus on the things that really require judgment, communication, and follow-through.

7. Strengthening Leadership Inside the Company

We recently promoted our long-time AppFolio system administrator into a director-level role within the company.

That matters because AppFolio is a major part of how our property management business runs. Having someone who deeply understands the system, the workflows, the data, and the details helps us make better decisions and implement necessary changes faster.

We have empowered her to help improve our operations, our accountability, and our client experience.

8. More Consistent Leadership Meetings

Our leadership team is meeting more regularly and using EOS-style systems to stay focused on priorities, solve issues, and move important projects forward.

A lot of companies have good ideas.

The hard part is execution.

We are working to become more disciplined about identifying the most important priorities and actually getting them done.

We Are Not Perfect — But We Are Improving on Purpose

Property management is complicated. There are always issues to solve, vendors to coordinate, tenants to communicate with, owners to update, and properties to protect.

We are not claiming everything is perfect.

But we are very actively improving.

We are investing in better systems, better reporting, better leadership, better technology, and better accountability.

That is what professional property management should look like.

Not just collecting rent.

Not just reacting to emergencies.

Not just answering emails.

But building a real management company that protects owners, serves residents, supports the team, and keeps getting better.

That is the direction we are moving, and we are excited to keep sharing those improvements with our clients.
